Every booking, every guest — under control
Bookings across three inboxes, guest details in an Excel sheet, cancellations negotiated over the phone — that is how valuable knowledge about your guests gets lost. With apartmentsite, all bookings and all guests live in one place: searchable, editable and managed by your rules.
One list instead of three inboxes
All bookings sit in a single list — with filters by apartment, period or status and a search by guest name. The question “When is the Berger family coming again?” takes seconds to answer instead of a long hunt.
Change dates without the stress
A guest wants to arrive a day earlier or extend the stay? You adjust the booking right in the panel. The calendar and availability on your website update automatically — nothing has to be maintained twice.
Cancellations by your rules
You set the cancellation terms for your direct bookings yourself. When a guest cancels, the system applies your rules — no case-by-case haggling, and no reciting conditions from memory late at night.
Recognise your regulars
Your own guest database remembers who has stayed before and what mattered at booking time. On the next stay, you greet the guest like an old acquaintance — the small gesture that turns guests into returners.
Here is how the booking list and guest database work together day to day.
- 01
A booking comes in
A direct booking via your website lands in the list automatically — with guest details, period, apartment and payment status.
- 02
The guest is created
An entry in your guest database is created alongside the booking. On the next booking, you see straight away: this is a regular.
- 03
You manage it all centrally
Change, extend, cancel — everything in one place. The system creates the matching invoices automatically.
FAQ
- Do the guest details really belong to me?
- Yes, that is the heart of it. With platform bookings, it is mostly the platform that knows your guest — with direct bookings via your own website, name and contact details land in your guest database. Booking.com and Airbnb remain valuable partners; your website is the additional channel through which you get to know your guests yourself.
- Can I set different cancellation terms per apartment?
- You define your cancellation rules yourself in the panel — strict or lenient, entirely your call. When a guest cancels, the stored terms apply automatically. That spares you case-by-case debates and ensures every guest is treated the same. See how it looks in the clickable demo, no registration needed.
- What happens to payments when a booking changes?
- Online payments via Stripe, PayPal and Klarna are included in the subscription: the guest pays a deposit at booking, the rest is due before arrival. You see the booking and its payment status together in the list. Receipts and invoices are created automatically by the system — after a change too.
- Can my staff work with the booking list as well?
- Yes. You assign team roles with matching permissions — the cleaner sees something different from the accountant. A change log records who changed what and when. So you stay in control even when several people work with bookings and guests.
